Group Member Identification

This page allows a user to enter additional information that you can used for Identifying your group members.

How do you apportion the group loan amount applied for amongst the members?

Go to Loans/Loan Application. To get to the third tab (See the image below), you must have entered all the relevant information at Loan Entry Part 1 and Loan Entry Part 2.

• Add Photo: Click on this tab to add a photo of the group member. For you to be able to access this photos from here they should have been stored in the photo directory folder in the installation directory.

These files / images should be the picture files of the following types:

• Bitmap (with extension .BMP),
• Device Independent Bitmap (extension DIB),
• Graphics Interchange Format (extension .JPG),
• Joint Photographic Electronic Group (extension .GIG),
• Cursor (extension .CUR),
• Animated Cursor (extension ANI)
• Icon (extension.ICO).

• Add Signature: Click on this tab to add a the signature of the group member. For you to be able to access this photos from here they should have been stored in the photo directory folder in the installation directory.

• Note that before entering clients, you need to specify the location of picture files (Photos and Signatures) at System/Configuration/General menu and the photo and signature files should be saved with the names of not more than 14 characters. 

• Print Card: Click on this button to print the Identity card of the group member. When this button is clicked the following screen appears:

• Date of Issue: Enter here the date of issue of the ID card e.g. "19/08/2016"
• Date of Expiry: Enter here the date the ID will be expiring e.g. "19/08/2018"
• Issuing Authority: Click on the signature button to select the signature of the person issuing this ID. The signature should have been scanned and stored in the signature directory in the working / installation directory.
• Function: Enter here the function of the card holder e.g "Manager".
• Templates: From the drop down Select the appropriate template that suits your taste.
• Preview: Click on preview to display how the card will look like as seen below:

• Edit: Click on Edit if there are some changes that you wish to make on the Identity card. To read more about ID printing go to Clients/Individual Clients/Identity Card Printing
• External files: These are documents that may be required to facilitate the loan application process and can also be used to Identify the group members. For them to appear in the drop down menu, they need to have been entered under System/ Configuration/Loan products settings/Contracts. Once clicked the following screen appears:

• Tick against the documents that have been presented as seen e.g. "Spouse's letter".
• Documents: Select a group member by highlighting him/her in the grid and click on Documents. The screen below will show:

Note that: All ID documents required by your institution need to have been defined under Support Files/Identity Documents menu 

• ID document: Select from the drop down the ID document the group member has presented e.g "Voter's card"
• ID number: Enter here the ID number e.g. "00001"
• Date of Issue: Enter here the date the document was issued e.g "01/01/2015"
• Issued by: Enter here the issuing authority of the ID document e.g. (G.O.U) Government of Uganda
• Valid: Enter the date when the document will expire e.g. 01/01/2021
• Priority: Enter here the priority the company attaches to the Id document e.g."1"
• Return: Click on the return button to return to the Identification tab.
• Additional Information: You can now add more information about the group in this space provided.e.g "This group has been performing well with one member graduating to an individual client".
• Graduate to Individual Client: Click on this button if you have a client you would like to graduate from the group member to an Individual client.
• Bank: From the drop down select the group members bank e.g. "Bank of Africa". For the banks to appear here it must have been entered under System/Configuration/Banks
• Branch: Enter here the client's bank branch e.g. "City" branch.
• IBAN No: Enter here the International Bank Account Number (IBAN NO) if the client one e.g. 21121.
• Account No: Enter the account no of the group member here e.g. "0011222000"
• Income History: Click Income History if you want to keep track of the group member's income history. On the window that appears. In the screen that appears, enter the "Start Date" and "End Date" when a client received a particular income. For comparison reasons, make the periods equal (e.g., monthly, Quarterly or annually. Enter an "Income" amount for that period and press the "Add" button. The periods should not overlap each other. As shown in the image below:
